A little help getting started
Frequently asked questions
Sign in, choose the right Outlook version, and get back to filing your email.
Sign-in & access
How do I sign in to MailTuck?
Open MailTuck from a message in Outlook and choose Check license. In the current version, this button starts Microsoft sign-in and then checks your MailTuck access. Once Settings is available, you can also use Settings → Account → Sign in to Outlook.
Sign in with the Microsoft account for the mailbox you are using. For a normal user mailbox, use the same account that has your MailTuck license. An organization's access exception can also provide access.
If the browser offers several accounts, check the selected address carefully. When testing different accounts, use separate browser profiles or different browsers: private windows in the same browser can share a sign-in session.
Why does Microsoft say “Need admin approval”?
Your organization controls which applications users may approve. MailTuck requests permission to read and move email in mailboxes you can access. Some organizations require an administrator to approve this access. The administrator should check both the publisher and the requested permissions before granting approval.
Ask your Microsoft 365 administrator to review the request. If the dialog offers Have an admin account? Sign in with that account, the administrator can use that route and, where appropriate, select Consent on behalf of your organization before accepting. Then close the approval window and sign in again as your ordinary user.
Installing the Outlook add-in, assigning a license, and granting Microsoft permissions are separate steps. If approval keeps appearing, contact support with the time of the failed attempt and the error code; repeatedly granting the same permissions may not resolve it.
Where can I purchase MailTuck, and does purchase install it?
View subscription plans, pricing and trial terms in Microsoft Marketplace. Your administrator then assigns licenses to the people who will use MailTuck. Buying a subscription does not by itself deploy the Outlook add-in.
Your Microsoft 365 administrator manages deployment of the Outlook add-in. Contact support for installation guidance. The optional Classic extension is installed separately on Windows.
What does “MailTuck license required” mean?
A Microsoft 365 mailbox subscription does not include a MailTuck license. Desktop Outlook also needs its own valid license. If your organization has purchased MailTuck, ask its administrator to assign a license to your Microsoft account, then choose Check license again.
If you also see a sign-in or approval error, resolve that first. MailTuck cannot check access until Microsoft sign-in succeeds. Your normal Outlook email remains available while MailTuck access is locked.
Which Microsoft permissions does MailTuck use?
MailTuck uses User.Read for your profile, Mail.ReadWrite to read and file your email, and Mail.ReadWrite.Shared for mailboxes you already have permission to access. Standard sign-in permissions (openid, profile and offline_access) support signing in and renewing access. MailTuck also requests access to its own service on behalf of the signed-in user.
These are delegated permissions: mailbox access is limited by the signed-in user's existing rights. MailTuck does not request the Microsoft Graph Mail.Send permission; you send messages through Outlook.
Outlook & shared mailboxes
Can I use a delegated or shared mailbox in Outlook Classic?
Use the MailTuck Classic extension for delegated and shared mailbox workflows in Outlook Classic on Windows. The MailTuck web add-in is not supported for those workflows in Outlook Classic.
The Classic extension uses Outlook's native mailbox access and supports folders across the mailboxes available in your Outlook profile. Your existing mailbox permissions still apply. Outlook on the web uses the web add-in.
Where do I download MailTuck Classic?
- Open MailTuck and complete sign-in and the access check.
- Open Settings → Help & downloads.
- Under Outlook Classic extension, choose Download Classic installer.
- Save any drafts and close Outlook completely before running the installer. Reopen Outlook when installation is complete.
The Classic extension is for Windows Outlook Classic. It is not an extension for new Outlook or Outlook on the web. The current installer is not digitally signed; if your organization's security software blocks it, ask your IT administrator or contact support.
This website does not provide installer downloads. Use the Settings menu inside MailTuck.
How are MailTuck updates installed?
Outlook on the web loads the hosted MailTuck application. Refresh the pane or Outlook after a service update. Changes to the Outlook manifest are a separate deployment managed by your administrator.
The Windows Classic extension checks for updates automatically and installs downloaded updates after Outlook closes when automatic updates are enabled. Check Settings → Updates for the latest status. If your installed version offers Check for updates now, that button runs an immediate check.
Do I need to restart my computer after approval or installation?
After administrator approval, close and reopen MailTuck and sign in again. In Outlook Classic, fully close and restart Outlook. A computer restart is normally unnecessary unless the installer or your IT administrator specifically requests one.
Microsoft advises that a new administrator-deployed add-in can take up to 24 hours to appear for all users; updates and enable/disable changes can take up to 72 hours. Check that the app was assigned to your account and refresh Outlook before deploying it again.
Filing & troubleshooting
MailTuck says “Waiting for Outlook”. What should I do?
MailTuck has not received the mailbox context it needs from Outlook. Close the MailTuck pane, select a message, and reopen MailTuck from that message. In Outlook on the web, refreshing the browser page may help.
If this keeps happening, contact support with your Outlook version and the exact message. Changing licenses or granting the same permissions again does not fix a missing Outlook context.
Why does MailTuck say a filing request already exists?
MailTuck has registered an operation for that message and is preventing a duplicate request. Open Undo to check its status. A completed operation is shown as Filed; a request that needs attention should show an explanation.
If the status and the message's location disagree, refresh Outlook and check the destination folder. Do not keep pressing File. A 404 / ItemNotFound message means the requested item could not be found; it does not by itself prove that your email was deleted. Contact support if the mismatch remains.
How do I mark filed messages as read?
Turn on Settings → Filing preferences → Mark filed messages as read and save your settings. The option applies to subsequent filing operations; it does not mark previously filed messages as read retroactively.
Undo restores supported folder moves, but does not restore a message's previous read/unread state. If Undo is unavailable because no message is selected, select a message and open MailTuck again.
Does Undo recall an email I sent?
No. Undo restores supported recent filing moves; it does not recall a sent email. If a message was subsequently moved elsewhere, MailTuck may stop Undo to avoid overwriting that later move.
What is the “MailTuck Data” folder?
MailTuck stores settings, learned filing data and synchronization records in your Microsoft 365 mailbox. Its internal data folder may be visible in some Outlook views. These records are not ordinary correspondence.
Do not delete or empty the MailTuck Data folder as a troubleshooting step. Doing so can remove settings, learning and filing history. Contact support if you need help with this storage.
